Who we are

How we collect information from you?

We obtain information about you from membership and booking forms.

What type of information is collected from you?

We collect your name and contact details and particulars of your bookings for ARCO functions and outings.

How is your information used?

We use your information to

·         send you periodic newsletters

·         maintain your subscription record

·         fulfil your requirements during functions and outings

·         carry out our obligations arising from your membership

You can opt out of any or all of our communications at any point by contacting the Secretary or opt out of emails by using the unsubscribe link to be found at the foot of our circulated emails.

How long do we keep your information?

We only keep current electronic records, but we hold personal data in hard copy indefinitely.

Who has access to your information?

The Secretary and Treasurer maintain and control the data.  It will only be shared with other Committee members or officials as far as is necessary for them to perform their duties.

Your data will not, under any circumstances, be sold or rented to any third parties nor shared with third parties for their marketing purposes.

Your data may be shared with third parties working on our behalf as far as is necessary for the distribution of postal or electronic communications.

Accessing, updating and deleting your data

You have the right to ask for a copy of the information we hold about you. You can request a copy of this data at any time by contacting the Secretary.

If your details change or the information we hold becomes inaccurate or out of date, please let the Secretary know and he or she will rectify your data.

If you would like us to delete or erase your personal information from our systems, then we will do so within 30 days and provide confirmation of this. To request that your personal data is erased, please contact the Secretary.   Please note you will no longer receive any communications from the Association.

How we keep information secure?

We have implemented measures to protect your personal data from unauthorised access, Improper use or disclosure and unauthorised modification.

Use of ‘cookies’

Our website does not use cookies.

Complaints

If you wish to raise a complaint about how the Association has handled your personal data, then please contact the Chairman. If you are not satisfied with our response or believe we are not processing your personal data in accordance with the law, you can complain to the Information Commissioner’s Office (ICO).

Review of this Policy

This policy was adopted by the Committee on 15 October 2018.  We will keep it under review.  It was last reviewed on 25 January 2023.
